STUDIOAida Ltd (collectively ‘we’ ‘us’ or ‘our’) have always taken our data protection responsibilities seriously and we will continue to do so. We are committed to complying with the highest standards to protect our website visitors and service users.

We will only collect personal information for our own use. It will not be sold to third parties. We hold personal data with persons with whom we have business relationships or potential business relationships. However, in some instances we have to retain your personal data to the extent necessary to comply with our legal obligations.

We may use ‘Cookie’ technology to track the total number of visitors to our website. They cannot be used to identify you personally and they do not collect personal information.

However, if you chose to access those links you are leaving our website and these websites have their own privacy policies and we do not accept any responsibility or liability for their policies.

We will only collect minimum information necessary in pursuant of our contract with you and what is stored will be as secure as we can reasonably make it.

The data may be processed for the purposes of operating our website, providing service, communicating with you, maintaining the security and backups. In terms of the GDPR we will be processing either on a lawful basis of fulfilling our contractual obligations or on a lawful basis of being in our or your legitimate interest, or in some instances consent.

It will only be available to third parties if it is necessary for the purposes outlined above and in accordance with the relevant lawful basis for processing. For example, we may disclose it to a contractor, consultant or a supplier and also to our service provider, professional and marketing adviser. Information required from you in order to pursue our contract or proposed contract with you, would be:

Names, address(s), telephone number(s) and email addresses in order to correspond with you. Data will have been provided by you or any assistants, staff, partners or family members acting on your behalf.

We will only ask for your bank account number and sort code if necessary in pursuant of the contract.

We will require your consent to take photographs of your premises, under the GDPR, they could be considered of a personal nature. Photographs will need to be taken during the course of the contract as a record of conditions or progress but also to facilitate the contract such as sending a photo to a contractor, supplier, planning department or similar. Upon completion and once the contract has finished, we will take photographs as a record of our work. We will seek your consent for releasing photographs for showcasing our work online, in our marketing publications, showing to potential clients, magazines or for award submissions. Your name and contact details will not be associated with any marketing material.
Photography will be careful not to include information of a personal nature such as recognisable people, family photographs or vehicle number plates. We will not use names or addresses of the property that could locate you.

We may also use your details post contract to contact you regarding latest ideas or products that might be of interest to you, or to send you a holiday greetings card, invite you to an event that we might be organising or occasional updates on our work.

If you send us a CV wishing to work with us we will seek your consent to retain you detail on files for future positions.

We take our obligation to secure and protect our clients’ data very seriously.

We take all reasonable care in protecting your information. We have both paper and digital storage systems which are held within the office. Our premises are locked and alarmed out of hours.

No financial information beyond account numbers and sort code (if occasionally required) and normal billing transactions are stored. Financial information is only available to Director and the Accountant.

Printed documents are located in the office filing cabinets when not in current use. Documents that are no longer required are shredded and deposited in the recycling bin.

Digital files such as email correspondence, drawings, survey, photographs and contacts are stored on the office server within the alarmed office. Access to the digital material is via office computers or mobile devices all of which require a login and password. Digital information is only accessed via authorised staff and IT contractor using a password and username.

Employees are given a login and password for their assigned computer and they are able to see some of the information stored, dependant on their access permissions.

When the employee leaves the company, their email and password is deleted, and access is no longer possible.
We access our server remotely out of office ours via cloud which requires log in name and password on devices such as laptops, tablets or mobile phone that also required login password.

IT maintenance is managed by an outside company at our premises or via VPN

Digital data is backed up on removable hard drives located at our premises.

Off-site back up is on encrypted cloud server (VPS)

Printing is mainly done in house, occasionally presentations are printed by external printers. Files are sent to them in PDF format and no client personal information is included.

Personal data we collect may be transferred to or stored on locations outside the EEA. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy. By submitting your data, you agree to this transfer.

At the end of the contract you can opt out of our marketing effort such as sending holiday greeting cards or updates.

If you discover an image that despite our best efforts includes some personal information, we will retouch out the offending material or if impossible, withdraw the image.

You can also request to see what information we hold on you and withdraw your consent for us to use it.

We may however need to retain a core set of data for our financial records and other legal requirements.
